Scheduling FAQ

How do i Schedule an appointment?

To schedule an initial appointment, fill out the form on our scheduling page. Our scheduler will contact you within a few days to match you with a therapist and schedule your first appointment.

After the initial appointment, you will schedule directly with your therapist.

Do you take my insurance?

For most art therapy and play therapy providers, we take all Aetna, Anthem, Cigna, United/Optum, and Sentara/Optima commercial and managed Medicaid plans

At this time, music therapy and dance/movement therapy are self pay only.

How much will I have to pay?

Self pay ranges from $70-185 depending on service type and length of session. More specific information about fee schedules are found on this FAQ page.

Copays and coinsurance are set forth in the agreement with your insurance company and can be found by calling the number on the back of your card.

People with deductibles will be charged the rate the insurance approves after filing the first claim with your insurance. We often don’t get a response for 2-6 weeks.

What should I expect at the assessment?

During the first session, the therapist will ask questions about what brought you here and what you hope to get out of therapy. If coming for music, art or play, emphasis will be on the expressive and experiential side of therapy to gather more information.

If you have a child coming to therapy, it is up to the child whether you attend this session. Oftentimes we ask a parent to attend a follow up session to gather the rest of the historical information for treatment planning purposes.

Can you tell me more about the different types therapies offered?

Please go to our Therapy FAQ page to learn more about these services.

Will my appointment be the same day and time each week?

Keeping the same day and time each week makes it easier to remember for all involved in the sessions. We start weekly with clients to establish a rapport and can move to less frequently when appropriate.

With this said, we also have therapists that have some flexibility for people that are on shift work. Please inquire about this at your intake appointment.

If you need to cancel an upcoming appointment, please communicate with your therapist before the 48 hour cancellation window closes.

Will I be able to talk to the therapist beforehand?

Our therapists are very busy, and save the hour specifically for you. In your intake paperwork, there are two places to communicate details with your therapist: history and intake questionnaire. Please take time to complete those thoroughly. Parents can send an additional email with details or ask to meet before or after the initial appointment to share any additional information.

How quickly do your after school/work appointments open up?

These times fill quickly and we often have current clients waiting for those spots. The best way to get one of those spots is to start at a different time with your preferred therapist and ask them to notify you when there is a preferred opening. There is no way to gauge how fast that will happen. If after 3pm is your priority, our self pay services, music therapy and dance/movement therapy, often have these immediate openings after school available.

Can I join the waitlist?

We believe in giving people access to care. It is difficult to estimate how long it might take to get someone in for a session. With that said, we use a call list for people seeking specific therapists specialties. This call list is used as a way to notify people of an opening quickly.
